Egencia made recent system changes which affect our UH Guest Travel booking process. If travel is required for a UH Guest – local staff, LOA, or other – please use this memo for taking next steps.
- Step 1
- Submit form: Approve UH Guest Travel.
- Required for UH Guest travel.
- Designated staff may submit form on IU Director’s behalf.
- For UH Guest travelers NEW to Egencia, allow at least one business day for account activation (allow more time on evenings, weekends, and holidays).
- Submit form: Approve UH Guest Travel.
- Step 2
- Communicate campaign-specific details to traveler/arranger, including:
- What are the UH billing codes for the trip?
- Is everyone in travel group staying at the same hotel?
- Are travelers sharing rides to and from airport?
- Communicate campaign-specific details to traveler/arranger, including:
*Please consider who should arrange travel for the guest(s) and indicate choice on the approval form.
- GUEST TRAVELER(S) will arrange for themselves, using instructions for ONLINE or PHONE.
- LOCAL or IU STAFF will arrange travel for Guest(s), using instructions for ONLINE or PHONE.
- UH TRAVEL TEAM will arrange travel for Guest(s).
Once the online form is completed, a support request will be generated on behalf of the submitter. No additional support request is necessary.
