Se Puede Data Access Policy

UNITE HERE makes SePuede, which is several pieces of software, available to Affiliates to use. The SePuede software are primarily hosted on either Microsoft Azure’s or Amazon Webservices’ virtual hardware. This means that Affiliates own all of the data within SePuede, and UNITE HERE controls the database, website, and all the software and hardware aspects which are required for running SePuede. The data are stored in specific data centers on virtual servers; this arrangement mirrors the way most modern software is run, such as Gmail, Office 365, Box, Broadstripes, or Expensify. This policy outlines the rights and responsibilities of UNITE HERE and Affiliates to the software and data.

Affiliates will use SePuede to manage their membership records and dues payments (IU Constitution Article 5, Section 9), unless an exception has been granted. Affiliates may also choose to use SePuede for organizing and campaigning. Affiliates will approve which users have access to the data, and will communicate that to the UNITE HERE Support Center, who will manage that access. Access changes will only be made by the Support Center with written Affiliate approval.

In order to ensure the highest level of security for the application, and protect against unauthorized access to the data, every user must use their own login every time.

Membership Records

UNITE HERE Support Center staff will only access membership records with the Affiliate’s approval. Any time the Support Center seeks access to the Affiliate’s records, the Support Center will ask for the Affiliate’s written approval. In the cases where the Support Center is responding to an Affiliate’s request for assistance, an Affiliate may opt to give a general approval in advance, or may choose to have the Support Center request access each time the Affiliate asks for assistance.

Organizing Records

Basic information data about members is shared between SePuede Membership and SePuede Organize (SePuede Organize and Mobile App). Financial information referenced in the “Membership Records” section above is not available to SePuede Organize. UNITE HERE Support Center staff will access SePuede Organize in response to an Affiliate’s support request. In an effort to be practical, given that many organizers are not available to engage in the approval of specific access requests, the Affiliate can grant overall approval for the Support Center to access SePuede Organize records.

Data Warehouse

UNITE HERE will extract Per Capita data equivalent to the “9 files from TIMSS” from SePuede when an Affiliate submits Per Capita. UNITE HERE may access SePuede for maintenance purposes, and extract data relating to system performance and user access. Other uses of SePuede data will require an Affiliate’s approval. In particular and with prior approval, UNITE HERE will extract additional data and more frequently in support of national reporting for coordinated organizing and research campaigns.

Locals may opt out of parts of the above access under discussion with UNITE HERE.

These policies apply the same to both production (“live”) and testing / training instances of SePuede which are made available for Affiliates’ use.
