Best Practice
The Group Assessment Report should be run monthly to ensure all statuses that require a charge have a billing line for every month. Please run the Missing Months Report before running the Group Assessment.
Run the Group Assessment
Navigate to the SePuede menu bar on the left and select Billing, then Group Assessment. This will show you all the previously run group assessments.
To run a New Assessment, select the blue button that says “New Assessment” in the upper left corner. Here you may choose your assessment type and assessment period.
Assessment Type is preset at “All Active Employers” and “Assessment Period” defaults to the current month. Confirm the selections are correct or update the value presented. The Best Practice is to run this for all employers at the beginning of the month.
Once the assessment type and period have been selected, click “Find Group”.
In the Pre-Assessment tab, we can see what assessment period was chosen, how many employers this includes, total workers, and how many errors and flags are present. Keep in mind, errors prevent us from running the report, but warning flags do not.
Errors will be presented when a worker is missing an assessment for prior months, or a rate cannot be determined. Warning flags include workers whose rate has changed, or their hire date is flagged for review.
When there are zero errors remaining, you may scroll to the bottom and select “Assess Group”.
Employer Breakdown appears, which summarizes the number of workers in each rate for these employers to check for inaccuracies when a rate increase or change has occurred.
You may now select “Commit”. Your latest submission will be at the top of the Assessment List marked as complete.
Important: If you do not Select Commit and close the screen, the system will not allow you to manually assess a record or run another assessment for those workers in that group, unless the assessment is cancelled or committed.
On the assessment grid, click on the assessment name on an “In Progress” assessment to bring the group assessment back up to take action on the report.
