To share a calendar, you will need to login to both the sender and receiver’s respective webmail account. This will require using 2 different browsers (e.g. Chrome & Firefox) as there is only 1 instance of webmail being logged in allowed at a time per browser.
To avoid confusion or interruption by the user (e.g. them clicking “Accept” on the invitation from Outlook, Arrgghhh) have both browsers open and accounts logged in so the actual action is bang-bang.
Sender
- Log in to person who is sharing calendar
- Navigate to calendar>share
- Select the desired calendar (e.g. Vacation/Travel calendar, Payroll calendar etc)>select the recipient
- Send invitation>immediately bounce over to recipient’s account
Receiver
- As soon as you send the invitation accept it in the recipient’s Inbox
- It will open the calendar in the calendar section>navigate back to Inbox and delete invitation before user tries to accept invitation.
- Now send an email to the user that says:
I have shared the “Insert calendar name here” to your account.
To view the calendar, please close and reopen Outlook. Navigate to your calendar>In the bottom left corner under ‘Other Calendars’ you will see “Insert Calendar Name here” listed>Click on it>Outlook will likely freeze at this point. Don’t do anything, just wait. After a minute or two the calendar will open.

**Sometime people will say they can’t see it and what is likely the problem is their left view pane in the calendar section is minimized so they don’t see the list of calendars in the bottom left corner. Simply expand the pane and pin it for them.
